Information for Speakers

Sessions:

Presentations are strictly limited to 10 minutes: 7-minute talk followed by 3-minute discussion.

Spotlight Sessions:

Spotlight speaker presentation is 25 minutes with 5-minute discussion.

Papers in spotlight sessions are strictly limited to 10 minutes: 7-minute talk followed by 3-minute discussion.

NIRA Presentations:

NIRA presentations are strictly limited to 7 minutes: 5-minute talk followed by 2-minute discussion.

Material presented must reflect the material summarized in your submitted abstract.

The presenting author may, and is encouraged to bring an interpreter to assist them during the question and answer period following the podium presentation.

Workshop, ORS Clinical Research Forum, ORS Basic Science Course, Translational Science Symposium and Professional Advancement Sessions:

Speakers will be given allotted time to speak from the organizer.

Speaker Ready Room

It is extremely important that all speakers visit the Speaker Ready Room to load and review their presentation 24 hours before your presentation.

The Speaker Ready Room is located in Room Strand 12 A&B, Level 2, Hyatt Regency New Orleans.  See speaker ready room hours and guidelines below.

Presenting authors will receive an e-mail in early February from PSAV, the official AV vendor, with information for authors to upload your presentation before the meeting.

Presenter Ribbons:

Speakers can pick up their ribbon in the speaker ready room, Room Strand 12 A&B.

Mandatory Disclosure Policy:

The ACCME is requiring podium presenters to include their mandatory financial disclosure on the first slide of their PowerPoint presentation for every author. When you are preparing your presentation, please be sure to include this information.

  • Received royalties for any pharmaceutical, biomaterial or orthopaedic product or device
  • Within the past 12 months served on a speakers bureau/paid honorarium to present by any pharmaceutical, biomaterial or orthopaedic product or device company
  • Paid employee for any pharmaceutical, biomaterial or orthopaedic product or device or equipment company, or supplier
  • Paid consultant for any pharmaceutical, biomaterial or orthopaedic product or device or equipment, company, or supplier
  • Unpaid consultant for any pharmaceutical, biomaterial or orthopaedic product or device or equipment company, or supplier
  • Own stock or stock options in any pharmaceutical, biomaterial or orthopaedic product or device or equipment company, or supplier (excluding mutual funds)

  • Receive research or institutional support as a principal investigator from any pharmaceutical, biomaterial or orthopaedic product or device or equipment company, or supplier
  • Receive any other financial material support from any pharmaceutical, biomaterial or orthopaedic product or device or equipment company, or supplier
  • Receive any royalties, financial material support from any medical and/or orthopaedic publisher

Moderator Responsibilities

  • Introduce the speakers, ensure timeliness, and facilitate discussion.
  • Session Papers are strictly limited to 10 minutes, 7-minute talks followed by 3-minute discussion.
  • Spotlight Sessions: The Spotlight talk is limited to 25 minutes with a 5-minute discussion. The three paper presentations are strictly limited to 10 minutes: 7-minute talk followed by 3-minute discussion. Please refer to the program book for the schedule time of the spotlight speaker. Spotlight talks are scheduled either at the beginning or end of the session.
  • NIRA Presentations are strictly limited to 7 minutes, 5-minute talks followed by 2-minute discussion.
  • Adhere to the scheduled paper times so that attendees may switch from one session to another without missing a paper.
  • Coordinate questions and answers.
  • Conflict of Interest: Moderators are responsible for addressing and resolving conflict of interest.  Please refer to the Conflict of Interest form on the moderator table in the session room.
  • Make sure the speaker gives a verbal disclosure at the beginning of the talk.
  • Commercial Bias: Moderators are responsible for “keeping the presentations balanced.”
  • When a company’s product is mentioned, we ask that the moderator note other products generally acceptable for the procedure discussed if the speaker does not. It would also be appropriate to announce the speaker’s documentation of the potential conflict as noted in the disclosure index listed on the ORS Annual Meeting website or ask the faculty speaker directly if such a conflict exits.
  • No photography, video, audio recording or reproduction of any kind may be used during any portion of the ORS Annual Meeting. The ORS reserves all of its rights to such materials, and commercial recording or reproduction is specifically prohibited. This includes, but is not limited to, digital and film photography, videography, cellular phones, and other image or audio recording devices. Please be sure the attendees in your session adhere to this policy.
  • The program book will be available on the ORS website in March 3, 2014. Abstracts will be available to download from the OASIS site March 3, 2014.
  • ALL Moderators must view the PowerPoint presentation with moderator instructions, complete the submit the last slide indicating you have completed the training.
Moderator Training will be available late February.

IMPORTANT-PLEASE NOTE: It is the ORS policy that accepted posters must be on display for the assigned poster session. We will be checking to make sure posters comply with the ORS policy. Posters up late or removed early will be reviewed by the Program Committee.

NIRA Finalist Posters will be displayed all four days, Saturday – Tuesday.

Late-Breaking Posters will be displayed all four days, Saturday – Tuesday.

Posters must reflect the material summarized in your submitted abstract.

Poster size is 45 inches horizontal by 45 inches vertical. The overall poster board is 4′x8′ with two poster presentations on each side of the board. Posters cannot exceed 45″x45″.

Each board will be identified by a number corresponding to the number of the poster listed in the Program Book and on the abstract listed on the ORS website.

Presenting authors will receive an e-mail late January from PSAV, the official AV vendor, with information on their Poster Printing Services for ORS poster presenters. Authors who participate in this service will pick up their poster at the hotel when they arrive to set up. Details on this service will be outlined in the e-mail from PSAV.

PLEASE NOTE: Poster numbers for both Poster Sessions 1 & 2 will be posted on the poster boards. Poster Session 1 Presenters, please DO NOT remove Poster Session 2 numbers. You may cover the number with your poster.

Poster Presenter Hours

Authors are required to stand at their poster to answer questions during the specified time indicated below.  Authors may stand at their poster during additional times if they wish.

Poster Presenter Ribbon: A presenter ribbon will be on the poster board. The presenting author should wear this ribbon during the meeting and specifically during the poster sessions, for easy identification.

If the board does not have a ribbon, you may pick one up at the registration counters.
