The ORS main office is unable to make reservations for you but will be able to help answer general housing questions.

The personal information you provide to make your hotel reservation(s) will be accessed by ConferenceDirect, your preferred hotel, and the ORS. The information will not be shared with any other party and will only be used to communicate with you regarding your hotel reservation and for purposes of monitoring and managing our hotel block.

A portion of your room rate is being used to defray the cost of this meeting.

For 10 or fewer reservations please book online and be sure to adjust the number of rooms you are booking when adding the check-in and check-out dates.

Please note that there is a 24-48 hour response window to email requests. Have the following information available if you plan to call, or include it in your email:

    1. The hotel where you’d like to make the reservations
    2. Each person’s full name and email address
    3. The arrival and departure dates for each person

Deposit & Cancellation Policy:

Cancellation and modification requests should be sent to [email protected]. Please provide your reason for cancellation and Passkey Acknowledgement Number (found in your confirmation email).

The following cancellation fee schedule will apply to all reservations and is in addition to any cancellation penalties from the hotel. Should you cancel, this charge will appear on your credit card statement as “Convention Services, Folsom, CA”.

Cancellations made between:
October 1 – October 31, 2019: $30 fee
November 1 – November 30, 2019: $40 fee
December 1 – December 31, 2019: $50 fee
January 1 – January 31, 2020: $60 fee
Beginning February 1, 2020: $70 fee

A deposit equal to one night’s stay is required to hold each reservation. This charge will appear on your credit card statement as early as January 16, 2019.

Courtyard Phoenix Downtown                 

A deposit equal to one night’s stay is required to hold each individual reservation. This charge will appear on your credit card statement as early as January 16th, 2020. Should a guest cancel a reservation, the deposit will be refunded if notice is received at least twenty-four (24) hours prior to arrival, and a cancellation number is obtained.

Hyatt Regency Phoenix               

A deposit equal to one night’s stay is required to hold each individual reservation. This charge will appear on your credit card statement as early as January 16th, 2020. Should a guest cancel a reservation, the deposit will be refunded if notice is received at least forty-eight (48) hours prior to arrival, and a cancellation number is obtained.

Renaissance Phoenix Downtown

A deposit equal to one night’s stay is required to hold each individual reservation. This charge will appear on your credit card statement as early as January 16th, 2020. Should a guest cancel a reservation, the deposit will be refunded if notice is received at least seventy-two (72) hours prior to arrival, and a cancellation number is obtained.     

Sheraton Phoenix Downtown    

A deposit equal to one night’s stay is required to hold each individual reservation. This charge will appear on your credit card statement as early as January 16th, 2020. Should a guest cancel a reservation, the deposit will be refunded if notice is received at least seventy-two (72) hours prior to arrival, and a cancellation number is obtained.    

Springhill Suites Phoenix Downtown

Should a guest cancel a reservation, the deposit will be refunded if notice is received at least seventy-two (72) hours prior to arrival, and a cancellation number is obtained.

Airport Information:

Phoenix Sky Harbor International Airport is home to one of the most accessible, affordable and welcoming major airports in the United States.

Sky Harbor is served by 17 carriers and is a hub for two major airlines, American Airlines and Southwest.

  • Airport is located centrally, only four miles from downtown Phoenix, and within 30 minutes of most hotels and resorts.
  • Phoenix Sky Harbor International Airport is ranked in the top 10 U.S. airports for on-time departures and arrivals in 2016 by OAG.
  • Free Wi-Fi is available in every terminal and public space.
  • The airport is home to the Navigators, a group of cheerful volunteers who are devoted to ensuring all passengers at Sky Harbor have a positive experience. You can find them wearing their bright purple shirts and a smile.
  • Adult changing stations in family restrooms for travelers with disabilities.

Ground Transportation from PHX:

Phoenix Sky Harbor International Airport is located four miles from downtown Phoenix and arriving passengers can make that trip aboard light rail for only $2. A taxi or ride-share trip takes under 10 minutes and typically costs $15-20.

PHX SKY TRAIN®

The PHX Sky Train® is an automated train that moves travelers between the airport’s busiest terminals and the nearest Metro Light Rail station. It is free to use and operates 24/7, arriving at stations every three minutes. The train takes about five minutes to travel from Terminal 4 to the light-rail station at 44th Street and Washington.

METRO LIGHT RAIL

With 35 stations, and trains arriving every 10 minutes, Metro Light Rail moves the masses in a hurry. The 26-mile system carries riders to hotels, restaurants, museums and sports arenas in Phoenix, and also links to the nearby cities of Mesa and Tempe. A one-way ticket costs $2, and an all-day pass is $4. Passes can be purchased at ticketing machines located at each stop.

Greater Phoenix has some of the most affordable taxi services in the nation. The typical fare from the airport to downtown is $15-$20. The following taxis are contracted to pick up passengers at Phoenix Sky Harbor:

RIDE SHARE

Passengers arriving at Sky Harbor can use ride-share services such as Uber and Lyft for airport pickup. Drivers with ground-transportation permits will meet passengers in the ride-share pickup area outside baggage claim.

CAR RENTALS

Sky Harbor’s Rental Car Center makes car rental quick and easy. The spacious facility houses 14 rental-car companies and provides a shuttle bus for all customers to and from the airport’s terminals. COMING SOON: PHX Sky Train® expansion will transport riders directly to the Rental Car Center.

SUPERSHUTTLE TIME- SCHEDULED VANS

Offers to and from airport service, 24 hours a day, seven days a week.

Pick-ups are scheduled within a pre-arranged 15-minute window.

Fares are based on a flat rate to each geographic area.

Vans are lift-equipped and accessible for the elderly and disabled.

LIMOUSINES

Offer airport-to-door service.

Rates are set according to the address in a given zone for the first two passengers. (For three or more passengers, an additional fee applies.)

Several private carriers operate from Phoenix Sky Harbor International Airport. If you prefer service from a particular company, check to see if it is permitted to operate from the airport.

It can now take as long as four months to obtain a visa to enter the U.S. Please use the following links for more information regarding obtaining visas, machine readable passports and registering with the U.S. Homeland Security’s ESTA program.

ORS will be able to provide a personalized letter to assist you in obtaining a visa. Please complete the information on the VISA invitation letter form and click submit to receive a personalize invitation letter to assist in your visitor visa application process.

If you are presenting a paper or poster at the meeting, please contact [email protected] to request a detailed invitation letter including your presentation details. Be sure to include your paper or poster number in the requested email.

Please note, entry visas into the United States are issued at the sole discretion of a US consulate general. ORS is happy to assist with requested documentation but is unable to intercede beyond the documentation.
