Podium Sessions
Presentations are strictly limited to 10 minutes: 7-minute talk followed by 3-minute discussion.
The presenting author may and is encouraged to bring an interpreter (which can be a co-author or supervisor who will register and pay the appropriate registration fee) to assist them during the question and answer period following each of the podium presentations.
Spotlight Sessions
Spotlight speaker presentation is 25 minutes with 5-minute discussion. Papers in spotlight sessions are strictly limited to 10 minutes: 7-minute talk followed by 3-minute discussion.
NIRA Presentations
NIRA presentations are strictly limited to 8 minutes: 6-minute talk followed by 2-minute discussion. Material presented must reflect the material summarized in your submitted abstract.

Workshops, Symposia, and Industry Innovation, Career and Personal Development Sessions
Speakers will be given allotted time to speak from the organizer.
Speaker Ready Room
It is extremely important that all speakers visit the Speaker Ready Room to load and review their presentation 24 hours before your presentation. The Speaker Ready Room is in the DeSoto B of the Hilton Anatole. See speaker ready room hours and guidelines below.

Audio Visual Guidelines for Speakers
Presenting authors will receive an e-mail in late December or early January from Encore, the official AV vendor, with information for authors to upload your presentation before the meeting.

Speaker Disclosure Slide
The ACCME is requiring podium presenters to include their mandatory financial disclosure/conflict of interest on the first slide of their PowerPoint presentation for ALL authors. When you are preparing your presentation, please be sure to include this information.
Received royalties from any medical-related company
Within the past 24 months served on a speaker’s bureau or have been paid honorarium to present by any medical-related company
PAID EMPLOYEE of any medical-related company
PAID CONSULTANT of any medical-related company
UNPAID CONSULTANT of any medical-related company
Own stock or stock options in any medical-related company (excluding mutual funds)

2023 Travel Restrictions
For those who may have imposed travel restrictions (government or institutional) that would prevent in-person attendance at ORS 2023, ORS will provide opportunities for you to present your abstracts that will be accepted for presentation.
Those that are not able to travel for the ORS 2023 Annual Meeting will be given the opportunity to present your work.

Abstracts accepted for a Poster Presentation
Poster Presenters will have the opportunity to display a poster in the Poster/Exhibit Hall. ORS is planning to secure a paid service that you can utilize to print and hang your poster. All posters – whether authors are present in-person or have a poster printed and hung are encouraged to embed a QR code that leads to a self-recorded talk (3 minutes in length). This adds a special value to you as an author and provides details of your presentation throughout the meeting.
Abstracts accepted for Podium Presentation
Podium presenters will have the opportunity to self-record your presentation, uploading your talk and having your talk be a part of the session your abstract was selected to appear.
We hope that by providing the options above we are meeting your needs to share your research.
Format
Posters must reflect the material summarized in your abstract.
Recommended – Poster size is 42 inches height by 45 inches width. The overall poster board is 96” horizontal (length) x 48” vertical (height) with two posters on each side of the board. Details and diagram can be found on the 2023 Poster Instructions.
We suggest you include a QR code on your poster, which links to a three-minute recorded video/audio of your presentation for the attendees to view. You can find information on creating QR codes on google.
Poster Set Up and Dismantle
Posters will be displayed in Exhibit and Poster Hall (Trinity Exhibit Hall and Ballroom) of the Hilton Anatole. It is recommended that ALL posters, regardless of poster #, be hung by Saturday morning for those in Poster Session 1 or Monday morning for those in Poster Session 2.

If you do not remove your poster by 7:00 PM, Sunday night, you will have to wait until the hall opens on Monday morning at 7:00 AM to claim your poster.

NIRA Finalist Posters
Poster Printing Service
ORS will offer a Poster Printing Service through a third-party, Genigraphics LLC. POSTER presenting (presenting authors) will receive an e-mail in December from Genigraphics LLC with information on the ORS Poster Printing Services. The email will be from [email protected]. Poster presenters wanting to take advantage of this service will be able to pick up their poster upon arrival to the Hilton Anatole or have the poster displayed for you if you are not able to attend in person due to travel restrictions.

Poster Presenter Hours
Authors are required to stand at their poster to answer questions during the specified time indicated below. Authors may stand at their poster during additional breaks if they wish or switch a day if they have more than one even or odd number poster in same poster session.
NIRA presenters may stand at their posters during Poster Session 1 on Saturday, February 11, but are not required.

Poster Presenter Ribbons: Poster Presenter Ribbons will be on tables throughout the poster hall. The presenting author should wear this ribbon during the meeting and specifically during the poster sessions for easy identification. You may also pick up a Presenter ribbon at the Ribbon Wall located by the Registration counters.
Poster Pushpins: Pushpins for hanging posters will be available on the tables throughout the exhibit hall.
Poster Tube Storage: Labels to mark your empty poster tube are available at the end of the poster aisles throughout the hall. Mark the tubes with your poster number and your name. Place the empty tube in the bin next to the table. Remember the numbered bin, you placed the empty tube in. The bins will be returned at the beginning of the poster session tear down.

Introduce the speakers, ensure timeliness, and facilitate discussion.
Remind presenters to be mindful of time for talk for respect of all of the other presenters in the session.
Session Papers (60 Minute Sessions) are strictly limited to 10 minutes, 7-minute talks followed by 3-minute discussion. You can cut-off presenters if going over the 7 minutes.
Late Breaking Podium: The talks are strictly limited to 6 minutes, 5-minute talks followed by 1-minute discussion.
Spotlight Sessions: The Spotlight talk is limited to 25 minutes with a 5-minute discussion. The three paper presentations are strictly limited to 10 minutes: 7-minute talk followed by 3-minute discussion. Please refer to the program book for the schedule time of the spotlight speaker. Spotlight talks are scheduled either at the beginning or end of the session.
NIRA Presentations are strictly limited to 8 minutes, 6-minute talks followed by 2-minute discussion.
Adhere to the scheduled paper times so that attendees may switch from one session to another without missing a paper.
Coordinate questions and answers. Moderators should have questions prepared to ask in case there are no questions from the audience. Once questions begin from the floor, the moderator should refrain from asking their questions.
Conflict of Interest: Moderators are responsible for addressing and resolving conflict of interest. Please refer to the Conflict of Interest form on the moderator table in the session room. Complete the form and leave at the head table at the end of the session. If there were no conflicts, please indicate “no conflicts” on the form.
Make sure the speaker gives a verbal disclosure/conflict of interest at the beginning of the talk.
If no disclosure/conflict of interest is provided during presentation please ask presenter for information at the conclusion of talk.
Commercial Bias: Moderators are responsible for “keeping the presentations balanced.”
When a company’s product is mentioned, we ask that the moderator note other products generally acceptable for the procedure discussed if the speaker does not. It would also be appropriate to announce the speaker’s documentation of the potential conflict as noted in the disclosure index listed on the ORS Annual Meeting website or ask the faculty speaker directly if such a conflict exits.
No photography, video, audio recording or reproduction of any kind may be used during any portion of the ORS Annual Meeting. The ORS reserves all of its rights to such materials, and commercial recording or reproduction is specifically prohibited. This includes, but is not limited to, digital and film photography, videography, cellular phones, and other image or audio recording devices. Please be sure the attendees in your session adhere to this policy.
For 2023, Encore AV provider, will be recording all podiums session presenters to add presentations to the virtual platform.
The program book will be available on the ORS website January 26, 2023.
ALL Moderators will have to participate in the Moderator Training.
