Registration

Oh no! I can’t make it and need to cancel my registration.
All cancellation requests must be submitted in writing to [email protected]. Please include “Annual Meeting Cancellation” in the subject line.

Submit all requests to ORS Registration via email at [email protected]. All registration cancellations and refund requests must be made in writing by Friday, January 24, 2020, to receive a full refund, less a $75 administrative fee. Refunds cannot be approved for requests received after this date, including no-shows. Substitutions are gladly accepted at any time. All optional events and section meetings are non-refundable.

Can I cancel my registration by phone?
Unfortunately, no. All cancellation requests must be submitted in writing to [email protected]. Please include “Annual Meeting Cancellation” in the subject line.

What if I need someone to take my place?
Good news! We are offer registration transfers! If you are unable to attend, submit a request for registration transfer in writing to [email protected]. Please include the full names of both the original registrant as well as the name of the individual the registration should be transferred to.  All registration transfer requests must be received no later than Friday, January 24, 2020.

Please note: There will be no refunds if the registration transfer results in a difference in registration fee. 

Can I add optional events if I have already registered?
If you wish to make any changes to your registration, please e-mail your request to [email protected] no later than Friday, January 24, 2020. Requests made after this date will need to be made on-site, at the registration desk. There are no refunds for optional events if cancelled.

Please note: The deadline to add an event to your registration is the end of the day prior to the day of the event you wish to add.

Here are the steps:

  1. Log-in to ors.memberclicks.net  (Remember! This login is different than your abstract submission login credentials.)
  2. There is a gray box towards the bottom of the page. Click the first option “My Profile and Access My Invoices”.
  3. On the menu bar starting with “My Community”, click on “My Profile” and a dropdown list should appear.
  4. Click on “Invoices”, second from the bottom.
  5. Click on any invoice to see the electronic copy, pay and download.

To make payments over the phone please call 847-823-5770.

Yes! You will not be able to print your badge if you have an open invoice of any kind on your account (ORS membership, meeting registration or any other outstanding invoice). We suggest you pay your invoice(s) before you arrive in Phoenix.

If you do not pay your invoice before you arrive, you will be required to do so on-site. Cash, credit cards and checks are accepted on-site.

Follow the steps above to pay your invoice online.

Please note that all payments are due no later than Friday, January 24, 2020. You will NOT be able to pick up your meeting badge and materials until all outstanding balances have been paid.

Registration is located North Hall A – C Lobby.

Registration materials are no longer mailed to attendees before the meeting.

Registration will be open beginning Friday, February 7,  12:00 PM – 7:00 PM.

For security purposes, your meeting badge must be worn at all times during the ORS Annual Meeting.

Lost Badges:

There is a $5.00 reprint fee for lost badges. Drink tickets are not replaced if lost.  ID must be presented for all reprints.

All authors whose abstract was accepted for presentation at the ORS 2020 Annual Meeting are expected and required to register for the annual meeting to present their work.

Hotel & Travel

The ORS Board of Directors strongly encourages all ORS Annual Meeting participants to book their stay at one of the ORS designated hotels. This is a great way to support the organization!

ORS has contracted the lowest hotel rates available at several properties in Phoenix. Help us keep our registration rates low, poster acceptance rates high, and as many scientific sessions as we can fit into 4 days by booking your room in the ORS Hotel Block!

Watch out for scams! The only place you can get discounted rates on the ORS hotels is on our website!

By booking in the ORS Hotel Block you will be invited to the exclusive ORS Block Party on Saturday, February 8 at The Duce! Information about the party will be sent to only those who book in the ORS Hotel Block closer to the meeting.

No, ORS does not provide shuttle service to/from any ORS functions. There are several ground transportation options to/from the airport to the ORS hotels, and each hotel is within 7-minutes walking distance to the convention center.

General Meeting Information

Yes! Complimentary Wi-Fi will be available for attendees in the convention center. Most hotels also have complimentary Wi-Fi in guest rooms.

ORS does not provide meals such as breakfast, lunch or dinner for attendees. The food that is provided is outlined below:

Breaks in the Exhibit & Poster Hall: Coffee and tea service in the morning and afternoon, and snacks in the afternoon.

Poster Receptions: Each attendee is provided with two (2) drink tickets to use at either poster reception (Saturday or Monday), redeemable for alcoholic or non-alcoholic beverages. Receptions also have hors d’Oeuvres.

Some optional events may have meal service, including lunch. Please see the registration page for more information on each event.

So where do we eat?

There is a café in the convention center that will be open during meeting hours. The metroMarché can be found on the ground level of the North Building.

There are a ton of restaurants within walking distance to the convention center. You can view lists on Yelp and Zagat.

Meeting/Sessions: Business casual attire should be worn Saturday – Tuesday. Dress in layers as meeting room temperatures fluctuate, and bring multiple pairs of comfortable shoes.

Evening Events: Business casual or casual attire is appropriate.

ORS 7th Annual Awards Celebration: Cocktail attire is appropriate.

ORS does not allow photography to protect the rights of each author.

By registering for the meeting, you agree to the following Image Consent Policy:

The photography or recording of any kind (cell phone, camera, video recorder, etc.) of a scientific presentation, educational program, workshop, poster(s), or meetings of the ORS is strictly forbidden without prior approval in writing by the ORS. This policy will be strictly enforced.

However, we encourage you to take photos during social events at the meeting! Be sure to tag @ORSSociety & use hashtag #ORS2020.
